QR Codes for Workers (No Login)

Workers never need a login: they scan a code posted on site and their phone opens a short page that does one job, whether that is reporting a hazard, signing in, completing an induction, signing for a policy or looking up a chemical. This page explains where each code comes from, what the worker sees, and how to replace a code that has gone missing.

1.Print and post the codes

  1. Hazard reporting: open Observations and press Field QR Code, then Print. This is one code for the whole company; the worker picks the site on the form if they want to.
  2. Site sign-in: open Site Sign-In, pick the site and press Print Sign-In QR. Post it at the gate.
  3. Induction: open Onboarding, pick the site and press Print Induction QR. Post it where new workers arrive.
  4. Policy acknowledgment: open Policies, pick the site and press Print Acknowledgment QR. Post it where crews gather.
  5. Chemical lookup: open SDS Library, pick the site and press Print Chemical Lookup QR. Post it where chemicals are stored and used.

2.Know what the worker sees at each code

  1. Report a Safety Observation: safe or at-risk, a category, a severity, what they saw, and optionally the site, their name and a photo. A photo records where it was taken if the phone allows it. This one works with no signal; it saves on the phone and sends itself later.
  2. Site Sign-In: their name, and optionally company or subcontractor, trade and phone number. They sign in, and later press Check out on the same page. The phone number they type is where an evacuation alert goes.
  3. Site Induction: name, company, trade and phone, then the induction text you wrote, a checklist they must tick item by item, and an optional signature. It is logged under Onboarding.
  4. Safety policies: their name as it appears on your Workers list, then each policy to read and a button that says "I have read and understood this". The acknowledgment is recorded against their worker record with the date and time.
  5. Chemical Safety Information: a search box, then the hazards, first aid, protection required and exposure limits for the product, with a link to the full sheet. Once the phone has loaded the list, it stays readable with no signal.

3.Replace a code that is lost or misused

  1. Open Site Sign-In or Onboarding and pick the site.
  2. Press Regenerate. Every code already printed for that site stops working.
  3. The sign-in, induction, acknowledgment and chemical lookup codes for a site share one key, so regenerating retires all four. Reprint each one you use.
  4. The hazard-reporting code has no key and never needs regenerating.

4.Keep roster names matching

  1. Sign-ins and inductions record whatever name the worker types. A name that does not match an active worker is still recorded.
  2. Policy acknowledgments must match an active worker on your roster. Capitalization does not matter, but the spelling does.
  3. If a worker gets a message that their name does not match, check how they are listed on the Workers page and fix whichever side is wrong.

Common questions

Do the QR pages work in Spanish?
They follow the language the worker's phone is set to. A phone set to Spanish gets the Spanish page; anything else gets English.
Which QR pages work with no signal?
Hazard reporting saves on the phone and uploads later. Chemical lookup and policy text stay readable once the phone has loaded them. Sign-in, check-out, induction and policy acknowledgment need a connection. See the Offline page for the full list.
Can someone outside the company use a code?
Anyone holding the code can submit, which is what makes it work for subcontractors. Site codes carry a key, so regenerate one if it ends up posted somewhere it should not be. Submissions are rate-limited, and a hazard report photo over 3 MB is rejected.
What do workers see about privacy?
Each QR page names your company and links to our privacy policy. If we have set your company's own privacy notice address in Company Settings, it links to that as well.
