Policies and Acknowledgments

Policies & Documents stores your safety manual, procedures and site rules, and tracks which workers have read and signed for each one. Workers sign on their own phones through a QR code, so the acknowledgment is theirs rather than a box ticked for them.

1.Add a policy

  1. Open Policies and press Add Policy.
  2. Enter the title, a one-line description for the card, a category and a version. Choose Entire company or a single job site.
  3. Paste or write the policy text, attach a PDF or image, or both. A policy with neither can be signed for but not read, so add at least one.
  4. Save. It is Active immediately.

2.Collect signatures by QR code

  1. Press Print Acknowledgment QR and pick the site. Post it where crews gather.
  2. A worker scans it, types their name exactly as it appears on your Workers list, reads each policy and presses "I have read and understood this".
  3. We record the acknowledgment against their worker record with the date and time. We never show an archived policy on the QR page.

3.Track who has and has not signed

  1. Open the policy and press Manage Acknowledgments.
  2. The list shows every active worker and whether they have signed. Search by name to find one person.
  3. You can tick a worker yourself when you have confirmed they read it in person. The record then shows the date it was marked.

4.Retire or replace a policy

  1. Press Archive on a policy that no longer applies. It stays on file and can be restored.
  2. Acknowledgments belong to the policy record they were made on. If the rules change materially, archive the old policy and add the new version so that signatures start fresh.

Common questions

What if a worker's name does not match?
The QR page tells them to ask their supervisor how they are listed. Check the spelling on the Workers page; capitalization does not matter but the spelling must match an active worker.
Can workers read policies with no signal?
Once the phone has loaded the policy list and text with signal, they stay readable without it. Signing needs a connection.
