Site Audits

Field tier and aboveIn the app: /audits

Site Audits are scored walk-around inspections with a checklist, findings and photos. Every failed item can become a corrective action with an owner and a due date, which is what makes the audit worth the walk.

1.Run an audit

  1. Open Site Audits and press + New Audit.
  2. Enter a title, the job site, the auditor and the date, and choose a checklist: the Built-In General Checklist or one of your own templates.
  3. Mark each item Pass, Fail or leave it as not applicable. For a failed item, set the severity (Medium, High or Critical), write the finding notes and attach a photo.
  4. Add extra checklist items if you find something the list did not cover.
  5. Save. We score the audit as the share of scored items that passed; items marked not applicable are left out of the calculation.

2.Turn findings into corrective actions

  1. Open the audit. Each failed item is listed as a finding.
  2. Press + Corrective Action on the finding and give it an owner, a due date and a priority.
  3. A finding with a corrective action attached cannot be removed from the audit until the action is closed or deleted.

3.Close and share it

  1. Press Close audit when it is complete. A closed audit is read-only; an admin can reopen it from the list if it needs to change.
  2. Press Export PDF for a report with your company name and logo on it.

4.Build your own checklist template (admin)

  1. Open Site Audits and press Templates, then New template.
  2. Give it a name, a description and a category, and add the questions one by one.
  3. Save. It appears in the checklist list on every new audit. We never change audits already done with a template when the template is edited later.
  4. Users can view templates but not change them.

5.Put an audit on a recurring schedule (admin)

  1. At the top of Site Audits, under Recurring Audits, pick a template and a job site, choose how often (daily, weekly, monthly, quarterly or annual) and optionally a responsible person, then press Add to Schedule.
  2. We calculate the next due date from the last completed audit with that template at that site. A template never audited at a site shows as Never audited, which counts as due now.
  3. When a row says Due Soon or Overdue, press Start Audit on it. The new-audit form opens with the template and site already chosen.
  4. Overdue and due-soon audits appear in the Needs Attention card, the notification bell and the Monday reminder email. The responsible person gets their own email listing what is theirs; admins get the whole company.
  5. Press Remove to take a template off a site's schedule. Past audits are kept.

Common questions

Where does the audit pass rate come from?
The dashboard and Statistics show the share of scored items that passed across your audits. Not-applicable items are excluded, so an audit of three items with one pass and two not applicable scores 100.
Can I attach more than one photo to a finding?
One photo per checklist item. Add another item if you need a second photo.
How does the schedule know an audit was done?
By the template name and the job site on the audit. Choose the template from the list when you run it, and pick the job site the schedule names; an audit with a retyped title or a different site spelling will not count against the schedule.
Is there a CSV export of audits?
Yes. An admin can press Export CSV on the audits page for one row per checklist item, with the audit's score on each row. A single audit exports to PDF, and every audit is in the full account export in Company Settings.
