Corrective Actions

Field tier and aboveIn the app: /corrective-actions

Corrective Actions is the single list of things that have to get fixed, each with an owner, a due date and a status. Findings from incidents, audits, observations, inspections, exposure samples and risk assessments all land here, and overdue items chase themselves by email.

1.Create a corrective action

  1. Go to the record that produced it: an incident, an audit finding, an at-risk observation, a failed inspection, an exposure sample over its limit, or a risk assessment.
  2. Press + Corrective Action on that record.
  3. Write the action, add details, choose a priority (low, medium, high or critical) and set a due date.
  4. If the AI tools are on, Suggest with AI drafts the action from the finding for you to edit.
  5. Press Create Action. It appears in the Corrective Actions list with a link back to where it came from.

2.Assign it to the right person

  1. Under Assigned To, pick either someone with a login or a worker from the roster. Workers are marked "no login".
  2. A login holder gets an email with the due date and sees it in their notification bell, and can close it out themselves.
  3. A worker gets the email only. Someone with a login closes the action on their behalf.
  4. We send the email only if email delivery is set up on your instance; the in-app notification works either way.

3.Work it to closure

  1. Open the action from the list and move the status from Open to In Progress, then Completed, then Verified once someone has checked the fix.
  2. Write close-out notes describing what was done.
  3. Overdue actions carry a red Overdue badge, and the Overdue chip above the list filters to them.
  4. Only an admin can delete a corrective action.

4.Stay ahead of due dates

  1. The Needs Attention card on the dashboard lists actions that are overdue or due soon.
  2. The notification bell shows the same items for the person they are assigned to.
  3. Every Monday morning we email a reminder that lists them: admins get the whole company, users get their own.
  4. In Company Settings, the reminder lead time (7 to 120 days) sets how far ahead "due soon" starts.

Common questions

Can I create a corrective action that is not tied to a record?
Not from the Corrective Actions page itself. Start from the record that justifies it: an observation is the quickest way to write one up.
What does Verified mean?
Someone other than the person who did the work has confirmed the fix is in place. Use it if your procedure calls for a second check; otherwise Completed is the end.
Can a worker without a login close an action?
No. They get the email, do the work, and someone with a login records the close-out.
