Migna is where your company keeps its safety records: incidents, audits, training, permits and the rest, all sharing one list of people and one list of job sites. This page covers the first hour: signing in, naming the company, adding job sites and getting your workers onto the roster.
1.Sign in for the first time
- We set up your instance and create the first admin login, or your admin sends you an invite link from the Users page.
- Open the link as soon as it arrives. It expires after one hour and works once.
- Choose a password of at least 8 characters and sign in.
- Tick "Keep me signed in on this device" if it is your own phone or laptop.
- If you forget your password later, press "Forgot password?" on the sign-in page. If email is not set up on your instance, an admin can generate a reset link for you from the Users page.
2.Name your company and add your logo (admin)
- Open Company Settings from the gear icon at the bottom of the sidebar.
- Enter the company name. It appears in the sidebar, on every exported PDF and on the emails your instance sends.
- Upload a square logo as a PNG, JPEG or WebP under 400 KB. It replaces the default mark in the top corner.
- Pick a brand color if you want buttons and links in your company's color. Leave it unset for the default.
- If your company says "crew" or "employees" rather than "workers", set the on-site people label and the app relabels itself throughout.
3.Add your job sites (admin)
- Open Job Sites in the sidebar and press Add Job Site.
- Type the name, then start typing the address and pick it from the list. You can also use your current location or enter coordinates by hand.
- Save. The site's location is what the weather page and its alerts use.
- Each site gets its own QR codes for sign-in, induction, policy acknowledgment and chemical lookup the moment it is created. Print them from the module that uses them.
- When a job finishes, archive the site rather than deleting it. Its records stay on file.
4.Add your workers
- Open Workers and press Add to enter one person: name, job title, company or subcontractor, job site, mobile phone and email.
- For a whole roster, press Import CSV and download the template. The columns are Name (required), Job Title, Company, Job Site, Phone, Email and Status. A job site named in the file must already exist.
- Paste or upload the spreadsheet. The first row must be the column headers. We show you what was added and what was skipped.
- Fill in phone and email where you can. Weather and evacuation alerts go to the contact details on the worker's record.
- When someone leaves, deactivate them rather than deleting them. Their training and incident history stays on file.
5.Invite teammates who need a login (admin)
- Open Users and press Add User.
- Enter their name and email and choose a role. An Admin runs the software company-wide: users, job sites, templates, branding, exports and deletions. A User files and updates records but cannot change company settings or delete records.
- Leave the password blank to get a one-time invite link. If email is set up on your instance we send it; otherwise copy the link and send it yourself.
- Optionally set the person's job site. That decides which site's alerts they receive, including an evacuation. Leave it blank for someone who covers every site.
- Workers never need a login. Logins are unlimited and do not affect your price.
Common questions
- What does the dashboard show?
- Days since the last incident, this month's observations, toolbox talks and pre-task plans, open investigations, training compliance, who is on site right now and the conditions at each site. The Needs Attention card at the top lists expiring training and certifications, overdue corrective actions, expiring permits and overdue inspections.
- When do reminder emails go out?
- Every Monday morning we email a digest of what is expiring, overdue or due soon. Admins get the whole company; users get their own items. In Company Settings you choose how far ahead, from 7 to 120 days, items start showing. An optional leadership summary goes to the admins or addresses you choose on the schedule you set, with per-site versions for project teams.
- Can I change the language or theme?
- Yes. Open Preferences from the gear icon (for an admin, it is the first section of Company Settings). Choose a light, dark or system theme for the device you are on, and English or Spanish for your account. Workers scanning QR codes see the language their phone is set to.
- Which modules do we have, and can we add one?
- Company Settings lists the modules included in your plan. To add or remove one, contact us; admins cannot switch modules on themselves. If a module you expect is missing from the sidebar, that is the reason.
- Is our data kept separate from other companies?
- Yes. Each customer runs on its own database and its own deployment. Nobody else's records are stored alongside yours.
