Equipment & Vehicle Inspections keeps a register of the forklifts, ladders, harnesses, trucks and anything else that needs a recurring check, with a checklist for each and a schedule that tells you what is due. A failed item becomes a corrective action.
1.Register your equipment
- Open Inspections and press Add Equipment.
- Enter the name, the equipment category, the unit or serial number and the job site it lives at.
- Anyone with a login can add equipment.
2.Create a checklist template (admin)
- Press Manage Equipment & Templates, then Add Checklist Template.
- Enter a name, the equipment category it applies to and the inspection frequency: daily, weekly, monthly, quarterly or annual.
- Type the checklist items, one per line, and save.
3.Put equipment on the schedule (admin)
- Press Assign Inspection and pick a piece of equipment and a template.
- Optionally name a responsible person. They get alerts when the inspection is due or overdue.
- Save. We calculate the next due date from the last completed inspection and the template's frequency; equipment never inspected is due now.
4.Complete an inspection
- Find the equipment in the schedule and press Inspect.
- Mark each item Pass or Fail, write defect notes for anything wrong, and enter who inspected it.
- Press Complete Inspection. The log is recorded and the next due date moves forward.
- For a failed item, press + Corrective Action to track the repair.
Common questions
- Where do I see what is overdue?
- The schedule shows Next Due, Last Done and a status for each assignment. Overdue and due-soon inspections also appear in the Needs Attention card, the notification bell and the Monday reminder email.
- Why can't I create a template?
- Templates and the recurring schedule decide what a compliant inspection is and how often it happens, so they are admin-only. Anyone can add equipment and complete inspections.
