Permits covers work that needs a written go-ahead before it starts: hot work, confined space entry, lockout/tagout, energized electrical work, excavation, or anything else you define. Each permit carries a pre-work checklist, an approval, a validity window and a close-out.

1.Create a permit

  1. Open Permits and press + New Permit.
  2. Choose the permit type. The pre-work checklist is filled in from the published standard for that type; edit the items to match your own procedure, and remember that removing one removes the check.
  3. Enter the title, job site, location, work description, who requested it and the responsible person. The responsible person gets alerts if the permit is expiring or overdue to close.
  4. Set Valid From and Valid To. If the window overlaps another active permit at the same site, we warn you on the form.
  5. Press Create Permit. It starts as Pending.

2.Approve it before work starts

  1. Open the pending permit.
  2. Tick every checklist item. A permit cannot be approved until all of them are checked; a permit with an empty checklist can be approved without any pre-work verification, so keep the list.
  3. Press Approve permit. We record your name and the time on it.
  4. If it should not go ahead, press Reject and give the reason.

3.Close it out

  1. When the work is finished, open the permit and press Close permit.
  2. Write the close-out notes: work completed, area inspected, and anything left to follow up.
  3. A permit that passes its Valid To date without being closed shows as Expired.

4.Reopen one (admin)

  1. Only an admin can reopen a closed permit.
  2. Reopening puts it back to Pending with every checklist item unchecked, so it has to be approved again before work restarts.

Which permit types are built in?
Hot Work, Confined Space, Lockout/Tagout, Energized Electrical Work, Excavation and Other. Each comes with its own starting checklist.
Who is allowed to approve?
Anyone with a login can approve, reject and close a permit. Your own procedure decides who should; the record shows who did.
Do I get reminded about expiring permits?
Yes. Expiring permits appear in the Needs Attention card, the notification bell and the Monday reminder email, and the responsible person is alerted.
